If your trucks cross state lines, these programs keep you from buying separate fuel permits and license plates in every state you drive through. Here’s what each one does, in plain English.
What it isOne fuel tax return covering every state and Canadian province you drive in. You pay each state for the miles you drove there, minus the fuel tax you already paid at the pump.
WhenEvery quarter. Due April 30, July 31, October 31 and January 31.
What you getAn IFTA license, plus a decal on each side of every qualified truck, renewed every year.
Good to knowDidn’t drive? You still file. A “zero” return is still a return.
What it isOne set of apportioned plates that lets your truck run legally in every state and province you list, with fees split by the miles you drive in each.
WhenOnce a year, plus any time you add or remove a truck.
What you getApportioned plates and a cab card that rides in the truck.
Good to knowAdding a truck mid-year? It needs to be on your account before it crosses a state line.
What it isA yearly federal tax on trucks with a taxable gross weight of 55,000 lbs or more.
WhenDue August 31 for most fleets, covering July through June. New trucks are due by the end of the month after their first month on the road.
Why it mattersYou need the IRS-stamped Schedule 1 to renew your IRP plates.
Good to knowNo Schedule 1, no plate renewal. It’s one of the easiest ways to stall an IRP renewal.
Trucks that cross state lines and either:
and over 26,000 lbs
at any weight
truck + trailer over 26,000 lbs
That includes a lot of tri-axle dump trucks and equipment haulers that never think of themselves as “trucking.”
Government fleets: municipal and other government-owned vehicles are often exempt. Ask us before you pay for something you don’t need.
✓Trip records for every truck: dates, odometer and miles in each state. Your ELD or GPS can usually pull these.✓Every fuel receipt: date, seller, gallons, fuel type, price and unit number.✓How long: IFTA records 4 years; IRP records [3 years after the registration year]
Good to know: Lose a fuel receipt and the state generally treats that fuel as if you never bought it, so you pay the tax twice.
These are the general rules. Exemptions and thresholds vary. Not sure what applies? We’ll tell you.
Some states have their own weight-distance or highway-use tax. IFTA doesn’t cover them. If your trucks run through these states, you generally need a separate account and separate filings. We file them for you.
Running a job in Farmington or hauling through Gallup? Trucks over 26,000 lbs generally need a New Mexico weight-distance account and regular reports.
Oregon charges by weight and miles driven, with its own account and reporting.
Heavy trucks running through Kentucky generally need a KYU number and regular reports.
New York requires its own permit, decal and regular returns.
Running a truck somewhere it isn’t registered or licensed for fuel tax? A temporary trip permit or fuel permit can cover it. For trucks that only cross state lines once in a while, permits can cost less than full IFTA and IRP.
For Effortless Compliance members, we pull trip and fuel permits at no extra cost.
State permit fees are paid by your company. Same-day requests depend on the state and aren’t guaranteed.
Tell us before the truck rolls. We’ll have the permit ready.
Which states, which trucks and the accounts you already have. If something’s missing, we set it up.
Export from your ELD or GPS, or send what you have. Not sure what to send? We’ll tell you exactly.
We calculate every state, check the numbers, get your OK and file it.

IFTA is your fuel tax: one quarterly return for every state you drive in. IRP is your registration: one set of plates for every state you drive in. Most trucks that cross state lines need both.
Every quarter: April 30, July 31, October 31 and January 31.
No. It’s all included in your Effortless Compliance membership, as long as your membership covers your whole fleet.
Give us at least 2 business days’ notice before the truck rolls, and members get them at no extra cost. State permit fees are separate.
Maybe not. Trip and fuel permits can cost less for occasional trips. We’ll help you figure out which makes sense.
Government-owned vehicles are often exempt, depending on the state. We’ll confirm before you spend money on it.
Send us what you have. We’ll find what’s missing and help set up a simple system so next quarter is easier. Accurate returns still depend on your records.
No. Government taxes and fees are paid by your company. The filing work is included in your membership.
Call us. We’ll pull your records together, explain what the auditor is asking for and handle the paperwork side of the response.
